Travel Booking Terms & Conditions

1. TRAVEL DOCUMENTS

It shall be the sole responsibility of the customer to ensure that they are in possession of all valid and necessary travel documents required for their journey. Such documents may include, but are not limited to, a valid identity proof, passport, visa, transit visa, entry permit, return/onward ticket, vaccination or health-related documentation, or any other document required by the airline, immigration authority, destination country, transit country, or any other competent authority.

The customer is responsible for independently verifying and complying with all applicable entry, transit and travel requirements before commencing the journey.

In the event that a customer is unable to travel, is denied boarding, refused entry, detained, deported, or otherwise prevented from travelling due to the absence, expiry, invalidity, insufficiency, or incorrectness of any required travel document, TripIndeed shall not be responsible for such inability to travel or for any resulting loss, expense, cancellation charges, rebooking charges, accommodation costs, transportation costs, or other expenses, subject to applicable law.

TripIndeed may, where reasonably required for booking verification, fraud prevention, payment verification, compliance, airline or supplier requirements, or other legitimate purposes connected with the provision of travel services, request supporting documents from the Customer. Such documents may include passport copies, identity documents, payment-card verification documents, or other relevant documentation. Where a payment card copy is requested, the Customer may be required to provide a copy with sensitive information appropriately masked, except where disclosure of specific information is lawfully required by the relevant payment provider, airline, supplier, or authority.

The Customer agrees to provide such documentation accurately and within the required timeframe where reasonably requested by TripIndeed.

Visa and Immigration

The approval, rejection, processing time and conditions of any visa, transit visa, entry permit or immigration clearance are solely determined by the relevant embassy, consulate, immigration authority, government department, or other competent authority.

TripIndeed does not guarantee the approval or issuance of any visa or immigration permission unless expressly stated otherwise in writing.

TripIndeed shall not be held responsible for visa rejection, visa delay, refusal of entry, immigration decisions, or any resulting inability to travel.

Where a visa is rejected or delayed, TripIndeed shall not be obligated to amend, reschedule, replace, or otherwise modify any package component, including flights, hotels, transfers, activities, excursions,

transportation or any other booked service, unless such amendment is specifically permitted by the applicable supplier’s terms.

Any applicable cancellation, amendment, rebooking, or other charges arising in such circumstances shall be borne by the Customer, subject to the applicable booking and supplier conditions.

2. PRICING & PAYMENT PLANS

TripIndeed may offer certain bookings or travel packages under full-payment, partial-payment, advance-payment, installment, or other payment plans, as specifically communicated to the Customer.

Where a payment schedule has been provided, the Customer shall be responsible for paying the outstanding amount in full within the payment deadline specified in the booking confirmation, invoice, voucher, payment schedule, or other written communication issued by TripIndeed.

If the Customer fails to make the required payment within the specified deadline, TripIndeed reserves the right to cancel the booking, subject to the applicable booking and supplier terms.

Any cancellation resulting from delayed, incomplete, or non-payment may be subject to applicable cancellation charges, forfeiture, supplier penalties, or other charges.

Any currency-conversion charges, foreign-exchange charges, payment-gateway charges, bank charges, card-issuer charges, or other transaction-related charges applicable to the Customer’s payment shall be borne by the Customer unless expressly stated otherwise by TripIndeed.

Any government taxes, tourism taxes, resort fees, city taxes, local taxes, mandatory hotel charges, or other destination-specific charges imposed by the relevant government, authority, hotel, resort, supplier, or service provider shall be borne by the Customer where such charges are not expressly included in the confirmed package price.

3. CODE-SHARE FLIGHTS

Certain airlines enter into “code-share” agreements with other airlines. Under such arrangements, the airline selling or marketing the flight ticket may not operate the aircraft itself and may instead contract or partner with another airline to operate the flight.

Accordingly, the airline whose flight number or code appears on the booking may differ from the airline actually operating the aircraft.

Where TripIndeed is provided with such information at the time of booking, any applicable code-share arrangement will be disclosed to the Customer during the booking process and/or prior to payment.

The Customer acknowledges that operational matters relating to the flight may be governed by the policies and procedures of the actual operating carrier.

4. PACKAGE AMENDMENTS, CANCELLATIONS & FLEXIBILITY

Unless expressly stated otherwise in the applicable package, quotation, booking confirmation, invoice, voucher, or other written communication issued by TripIndeed, all components of a travel package—including flights, hotels, transfers, activities, excursions, transportation and other services—shall be treated as non-refundable, non-changeable and non-transferable once confirmed or issued.

Different terms may apply where specific amendment, cancellation, refund or flexibility conditions have been expressly mentioned for the particular package or booking.

TripIndeed may offer a Flex Plan or similar flexible booking option for selected packages. Any flexibility provided under such plan shall apply strictly in accordance with the terms and conditions communicated for that particular Flex Plan.

If a Customer requires a different cancellation, amendment, refund or flexibility arrangement, the Customer must request and confirm such option before making the booking or payment.

The Customer shall not be entitled to assume additional flexibility after the booking has been confirmed unless TripIndeed expressly agrees to such amendment in writing.

Travel Insurance

Where the Customer has opted for travel insurance, TripIndeed’s role shall be limited to providing available booking, cancellation, refund, or non-refund documentation that may reasonably assist the Customer in submitting an insurance claim.

Insurance claims are solely between the Customer and the relevant insurance provider. TripIndeed does not guarantee the approval, acceptance, processing, or payment of any insurance claim.

The acceptance of any claim shall be determined solely by the insurer in accordance with the applicable insurance policy, terms, conditions and exclusions.

5. NO-SHOW & FAILURE TO TRAVEL

If a customer fails to appear for a confirmed flight, hotel stay, transfer, activity, tour, transportation service, or any other booked service without completing the applicable cancellation or amendment process within the permitted timeframe, the booking may be treated as a No-Show.

Unless expressly stated otherwise in the applicable booking conditions, no refund shall be payable for a No-Show, including where the Customer has purchased or upgraded to a Flex Plan, subject to the applicable supplier terms and applicable law.

Where the Customer has travel insurance, TripIndeed may provide available documentation confirming the applicable non-refundable amount or non-refundability of the booking, where such documentation is available, so that the Customer may submit the matter to the insurer.

If a customer fails to undertake an onward journey, the airline may, in accordance with its applicable policy, automatically cancel the remaining sectors or the entire PNR associated with that booking.

TripIndeed does not control such airline processes and shall not be obligated to provide alternative bookings where an airline cancels subsequent sectors or the remaining itinerary due to the Passenger’s failure to travel on an earlier sector.

Separately Booked Flights

Where flights or connecting sectors have been booked separately, including flights operated by different airlines or separately ticketed regional connecting flights, they shall not be treated as a protected connection unless expressly confirmed otherwise in writing.

If a customer misses a separately booked onward flight due to a delay, cancellation, disruption, or other issue affecting the preceding flight, TripIndeed shall not be responsible for providing alternative transportation, compensation, reimbursement, or refund for the missed separately booked flight, except to the extent expressly provided by the relevant supplier or required by applicable law.

6. BAGGAGE

Baggage allowance shall be determined by the applicable policy of the respective airline and shall be communicated to the Customer through the applicable booking confirmation, ticket, itinerary, voucher, or other travel documentation.

The customer is responsible for reviewing the applicable baggage allowance and restrictions before travel.

Where the customer does not request or purchase additional baggage allowance or baggage upgrades, TripIndeed shall not be responsible for any additional baggage requirement, excess baggage charge, or other charge imposed by the airline.

Any additional baggage purchased after booking shall be subject to airline availability, applicable airline charges and conditions.

7. MEALS

Where meals are included with a flight, such meals shall be provided in accordance with the applicable policy of the respective airline.

The applicable meal inclusion, where available, will be communicated to the Customer through the booking confirmation, ticket, itinerary, voucher, or other relevant travel documentation.

If the customer requires an additional meal service, special meal, upgraded meal option, or any other meal-related service, the request shall be subject to airline availability and applicable charges.

Where the customer does not request or purchase an additional or upgraded meal service, TripIndeed shall not be responsible for providing such additional service.

8. SCHEDULE CHANGES & CANCELLATIONS BY SUPPLIERS

Airlines, transportation providers, hotels, activity providers and other travel suppliers may, from time to time, change, reschedule, delay, cancel, modify, or otherwise alter their services.

Where an airline or transportation provider makes a schedule change or cancellation, the available options shall generally be determined by the relevant airline or transportation provider and may, depending upon the circumstances and applicable supplier policy, include an alternative service or refund of the affected service or flight segment.

The specific remedy available shall depend solely upon the applicable policy of the relevant supplier and the circumstances of the change or cancellation.

TripIndeed will, where reasonably possible, communicate the options made available by the relevant supplier and assist the Customer with the applicable process.

If the alternative flight, room, routing, timing, accommodation, or other option offered by the relevant supplier is not suitable for the customer, TripIndeed shall not be obligated to provide a different option at its own cost.

Any additional cost associated with a customer-requested alternative that is not covered by the relevant supplier shall be payable by the customer.

Effect on Other Package Components

Where a flight, hotel, transportation service, activity, or other component of a package is separately booked or governed by separate supplier terms, a change or cancellation affecting one component shall not automatically entitle the customer to amend, cancel, refund, or modify the remaining components of the package.

For example, where a flight is cancelled or significantly changed but the hotel, transfers, activities, excursions, or other services were separately booked and are subject to their own non-refundable or non-changeable conditions, such services may remain non-refundable and non-changeable.

TripIndeed shall not be responsible for providing reimbursement, compensation, free amendments, alternative arrangements, or additional services for such unaffected or separately contracted components, except where the applicable supplier permits such remedy.

9. AIRPORT CHECK-IN

Customers are advised to verify the applicable check-in requirements and deadlines directly with the operating airline before travelling.

As a general recommendation, customer should arrive at the airport approximately 3 hours before departure for domestic flights and 4 hours before departure for international flights, unless the airline or airport specifies otherwise.

The customer remains responsible for complying with the airline’s check-in, baggage-drop, security, immigration and boarding deadlines.

TripIndeed shall not be responsible for consequences arising from a customer’s failure to reach the airport or complete the required formalities within the applicable time.

10. VOLUNTARY CHANGES

Any voluntary change requested by the customer to an existing booking shall be subject to the applicable terms, availability and approval of the respective airline, hotel, transportation provider, activity provider, or other supplier.

Where permitted, such changes may attract amendment fees, fare differences, cancellation charges, supplier penalties, administrative charges, or other costs imposed by the relevant supplier.

In addition to supplier-imposed charges, TripIndeed may charge an applicable service, processing, or amendment fee for handling the requested change.

No requested amendment shall be considered confirmed until expressly confirmed by TripIndeed in writing.

11. HOTELS & ACCOMMODATION

TripIndeed acts as a facilitator and provides a platform through which Customers may select and book accommodation for their travel arrangements.

For the purposes of these Terms, “Hotels” or “Accommodation” may include hotels, resorts, home-stays, bed and breakfast properties, farm-houses, villas, apartments, guest houses, hostels, or other forms of accommodation.

Hotel Information

Information relating to accommodation, including hotel category, star classification, photographs, room types, facilities, amenities, descriptions and other property information, is based on information made available by the respective hotel, accommodation supplier, or third-party provider.

Such information is provided for general reference and may be subject to change.

Any discrepancy between photographs, descriptions or information displayed on the TripIndeed website and the actual condition or facilities of the accommodation should, where applicable, be raised promptly with the hotel or accommodation provider so that the issue may be addressed by the relevant supplier.

TripIndeed shall not be responsible for discrepancies arising from inaccurate, outdated, incomplete, or subsequently changed information supplied by the accommodation provider, subject to applicable law.

Hotel Admission & Check-In Restrictions

Hotels and accommodation providers reserve the right to determine admission and check-in in accordance with their own policies and applicable laws.

Certain hotels may impose specific restrictions concerning age, nationality, local residency, relationship status, identification documents, occupancy requirements, or other conditions.

For example, some properties may not permit unmarried or unrelated couples to check in, may require appropriate identification or proof of relationship, or may restrict accommodation for local residents.

TripIndeed does not control such hotel policies or admission decisions.

Where a hotel refuses check-in because the customer does not satisfy the hotel’s applicable requirements, including identification, residency, relationship, age, or other property-specific conditions, TripIndeed shall not be responsible for such denial and no refund shall be payable where the denial arises from the customer’s failure to meet the hotel’s stated requirements, subject to the applicable booking terms and applicable law.

Hotel Denial Due to Supplier Issues

Where a hotel denies check-in due to circumstances attributable to the hotel or accommodation supplier, including overbooking, system or technical errors, room unavailability, or similar supplier-side circumstances, TripIndeed’s responsibility shall be limited, where reasonably possible, to either:

  1. arranging a similar alternative accommodation at TripIndeed’s discretion, subject to availability; or
  2. processing a refund of the applicable booking amount actually received for the affected accommodation, to the extent recoverable and payable under the applicable booking/supplier

Any alternative accommodation shall be subject to availability and may differ in location, facilities, room type, or other characteristics, depending on availability at the time.

Any other service-related issue should be promptly reported to both the relevant hotel and TripIndeed so that reasonable assistance may be provided.

Damage to Hotel Property

The customer shall be responsible for any loss or damage caused to hotel or accommodation property by the Customer or any accompanying guest, whether caused wilfully or through negligence.

The hotel or accommodation provider shall determine the nature and amount of any applicable damage charges in accordance with its policies.

TripIndeed shall not be responsible for such charges and the Customer shall settle any amount legitimately claimed by the hotel directly with the accommodation provider.

Minimum Check-In Age

The primary guest checking into the accommodation must generally be at least 18 years of age, unless the relevant property expressly permits otherwise.

Where a particular hotel has a different minimum age requirement, the hotel’s applicable policy shall prevail.

Identification Requirements

The customer must possess valid identification and any other documents required by the hotel at the time of check-in.

The hotel may deny check-in where the customer fails to present valid identification or other documents required under the hotel’s applicable policy or local regulations.

Check-In & Check-Out

Hotel check-in and check-out times shall be governed by the applicable hotel’s policy.

Early check-in and late check-out requests are subject to availability and may attract additional charges imposed by the hotel.

TripIndeed cannot guarantee early check-in or late check-out unless expressly confirmed in writing.

Hotel Services & Additional Expenses

The booking amount paid by the customer shall cover only the accommodation and the inclusions specifically stated in the confirmed booking.

Where breakfast, meals, or other services are included, such inclusions shall be as expressly specified in the booking confirmation.

Additional services or expenses incurred at the hotel—including, but not limited to, laundry, room service, telephone calls, internet charges, additional food, drinks, beverages, minibar consumption, spa services, and other personal expenses—shall be paid directly by the customer to the hotel.

Festive & Mandatory Hotel Charges

Hotels may impose mandatory meal supplements, gala dinner charges, festive surcharges, or other mandatory charges during periods such as Christmas, New Year’s Eve, public holidays, festivals, or other special occasions.

Any such charges imposed by the hotel or accommodation provider and not expressly included in the confirmed package price shall be payable by the customer directly to the hotel.

TripIndeed shall have no authority to waive or remove charges imposed directly by the hotel.

Bank & Card Charges

Certain banks, card issuers, payment providers, or card networks may impose transaction, foreign-exchange, international-processing, or other charges where the card issuer and merchant location are in different countries.

Any such charges, as well as exchange-rate differences applied by the Customer’s bank or card issuer, are outside TripIndeed’s control.

Customers with questions regarding such charges or exchange rates should contact their bank, card issuer, or payment provider directly.

Hotel Security Deposits

Certain accommodation providers may require the Customer or other guests included in the booking to provide a credit-card authorization, cash deposit, security deposit, or other guarantee at check-in to cover incidental expenses, damages, or other charges incurred during the stay.

Any such deposit is separate from the amount paid to TripIndeed and is imposed solely by the relevant accommodation provider.

TripIndeed shall not be responsible for the amount, release, deduction, or refund of such hotel security deposits.

12. NAME CHANGES & PASSENGER INFORMATION

Name changes, corrections, transfers, or modifications to passenger details may or may not be permitted depending upon the applicable policy of the airline, hotel, transportation provider, activity provider, or other relevant supplier.

Where the relevant supplier permits a name correction or other permitted amendment, TripIndeed may assist the customer in processing the request.

Any applicable airline, hotel, supplier, administrative, amendment, or penalty charges shall be borne by the customer.

Where a name change or correction is not permitted by the relevant supplier, the booking shall remain subject to the applicable cancellation and refund conditions, and no refund shall be payable solely because the customer is unable to amend the passenger name.

Customers are responsible for ensuring that passenger information supplied at the time of booking is accurate and matches the relevant travel document.

This includes, where applicable, the passenger’s given name, surname/last name, date of birth, nationality, passport details, and any other information required by the airline, hotel, immigration authority, or other service provider.

13. ACTIVITIES & OTHER SERVICES

The provider of any activity, excursion, tour, attraction, experience, transportation service, or other ancillary service shall be referred to as the “Activity Provider.”

The Activity Provider shall be primarily responsible for the actual provision, operation, safety procedures, scheduling, availability and delivery of the relevant activity or service.

TripIndeed may act as a booking facilitator and may provide reasonable assistance to the customer in relation to the reservation. However, TripIndeed does not operate or directly control the activity unless expressly stated otherwise.

Pick-Up & Drop-Off

TripIndeed shall not provide pick-up and drop-off services for any activity unless such service is expressly included and stated in the applicable booking confirmation, voucher, or itinerary.

Where transportation is included as part of an activity, such transportation shall be subject to the terms, schedule, availability and operating conditions of the relevant Activity Provider.

Activity Risks & Supplier Responsibility

To the extent permitted by applicable law, TripIndeed shall not be responsible for losses, damages, injuries, accidents, death, breakdowns, operational irregularities, delays, changes in schedules, cancellations, deficiencies in service, inaccurate information, or other issues arising from the acts, omissions, policies, operations, or circumstances of the Activity Provider or circumstances beyond the reasonable control of TripIndeed.

This includes issues relating to:

  • the operation or conduct of the activity;
  • the health, safety and well-being of the customer while participating in or using the activity or service;
  • cancellation, suspension or modification of an activity by the Activity Provider;
  • weather or other conditions affecting the activity;
  • equipment breakdown or operational irregularities;
  • delays or changes in activity schedules;
  • inaccurate, incomplete or subsequently changed information supplied by the Activity Provider;
  • deficiencies in the products or services provided by the Activity Provider; and
  • incidental or ancillary services purchased directly by the Customer from the Activity

Customers are responsible for complying with all safety instructions, eligibility requirements, age restrictions, health requirements, weight/height restrictions, operational instructions, and other conditions imposed by the Activity Provider.

Where an Activity Provider refuses participation because a customer does not satisfy its applicable requirements, TripIndeed shall not be responsible for such refusal, subject to applicable law and the applicable booking conditions.

14. THIRD-PARTY SUPPLIERS & TRIPINDEED’S ROLE

TripIndeed operates as a travel facilitator and booking platform and may arrange, facilitate, or resell travel-related products and services provided by independent third-party suppliers.

Such suppliers may include, without limitation, airlines, hotels, resorts, accommodation providers, transportation companies, transfer operators, destination management companies (DMCs), tour operators, activity providers, excursion operators, attraction operators, cruise operators, insurance providers, payment service providers, and other travel-service providers.

Unless expressly stated otherwise in writing, TripIndeed does not own, operate, manage, control, or directly provide the services supplied by such independent third parties.

Each third-party supplier is responsible for the actual provision and operation of its respective service and may have its own terms, conditions, cancellation rules, operational policies, safety requirements, eligibility criteria, refund procedures, and limitations.

The customer acknowledges that the availability, pricing, schedules, routes, accommodation facilities, activities, transportation, service standards, operational decisions, cancellations, amendments, and other aspects of third-party services may be determined by the respective supplier and may be outside TripIndeed’s direct control.

TripIndeed will, where reasonably possible, communicate relevant supplier information and assist the Customer with booking-related communication, amendments, cancellations, refunds, or other service-related processes.

However, TripIndeed cannot guarantee that a third-party supplier will provide its services without interruption, delay, alteration, cancellation, deficiency, or other operational issue.

Where a supplier provides a specific remedy, alternative, refund, compensation, amendment, or other resolution, TripIndeed’s role shall generally be limited to facilitating or communicating that remedy in accordance with the supplier’s applicable terms.

The customer acknowledges that TripIndeed shall not be responsible for a third-party supplier’s acts, omissions, negligence, operational decisions, service deficiencies, schedule changes, cancellations, overbooking, technical failures, inaccurate information, delays, accidents, injuries, loss, damage, or other circumstances beyond TripIndeed’s reasonable control, except to the extent that liability cannot lawfully be excluded or limited.

Nothing in these Terms shall be interpreted as excluding or limiting any liability, right, remedy, or obligation that cannot legally be excluded or limited under applicable law.

Where a customer purchases an ancillary service directly from a third-party supplier, any dispute relating specifically to that service shall ordinarily be addressed with the relevant supplier, without prejudice to any rights the Customer may have against TripIndeed under applicable law.

By proceeding with a booking, the customer acknowledges that the services included in the booking may be subject to the independent terms and conditions of the relevant third-party suppliers in addition to these TripIndeed Terms & Conditions.
